Law Office / Billable hours log
Billable Hours and Invoice Log
Every hour on the card, every invoice accounted for. Log time by matter and timekeeper. The sheet prices it at each person's rate, adds it to the right invoice, and shows what each client still owes and for how long.
Works in Excel, Google Sheets, LibreOffice and Apple Numbers. No macros.

Who owes what, and for how long
Every invoice with money still owed lands in an age bucket, counted from the invoice date. Once a bill passes your payment terms, it turns red. Red is only ever used for overdue money.
- 0-30 daysRecent invoices, still inside most payment terms.
- 31-60 daysTime for a short, friendly note.
- 61-90 daysWorth a call, before it gets harder to collect.
- Over 90 daysThe oldest money, shown client by client.
- CreditsOverpayments show as credits you can refund or apply to the next bill.
What's in the workbook
Six tabs that follow a billing month. The yellow cells are the only ones you type in.
- Rates
People and matters
Each timekeeper's role and hourly rate, and every matter billed hourly or as a flat fee. Your payment terms go at the top.
- Time Log
One line per entry
Date, who did the work, the matter, hours, the task and billable Yes or No, plus an optional UTBMS task code column if a client asks for codes. Billed hours round to the nearest 0.1 hour.
- Invoices
Bills that add themselves up
Pick the matter and the period, and the fees come from the billable time in it. Add flat fees, expenses and payments as they arrive.
- Aging
Unpaid, by client and by age
0-30, 31-60, 61-90 and over 90 days, plus credits from overpayments.
- Dashboard
The week and the month
This week's time card, hours and billable share this month, unbilled work, receivables, the oldest unpaid invoice and your busiest matters.
- Checks
Mistakes it catches
A missing rate, a matter that isn't on the list, a date that isn't a date, and two invoices that cover the same days.
Every formula was checked before it went on sale. A separate program read only the yellow input cells and worked out every rate, amount, invoice total, age bucket and dashboard figure again from scratch, then compared its answers with the spreadsheet's own, cell by cell.
That ran on the sample workbook and on a second test file full of awkward cases, such as zero-hour entries, a timekeeper with no rate, partial payments, overpayments and invoices that land exactly on the 30, 60 and 90 day lines. Both came back with no mismatches and no error cells.
Your data stays on your computer, or in your own Google Drive if you use Sheets. Nothing is sent to us.
Questions
Does it work in Google Sheets?
Yes. Upload the file to Google Drive and open it with Google Sheets. It also opens in Excel, LibreOffice Calc and Apple Numbers. There are no macros and no add-ons.
How is time rounded?
Billed hours are the hours you type, rounded to the nearest 0.1 hour, which is 6 minutes. If you already type tenths, nothing changes.
Can it handle flat-fee matters?
Yes. Time on a flat-fee matter is kept for your records, and you type the agreed fee on the invoice line.
Is there a subscription?
No. It's a one-time $4.99 download. You keep the file.
What if something doesn't work?
Email contact@northlineoffice.com with your order email and we'll sort it out, usually within 2 business days.
An organiser, not legal or accounting advice
The log keeps your time and bills in order. It doesn't check them against any bar or court rule.
- It isn't a trust account ledger. Client trust money needs its own records.
- Read every invoice before you send it.
- The sample firm, people and matters in the file are made up.
